Unlocking Acumatica's Potential: A Customization Success Story

(a) Challenges

The client needed to capture specific shipping information in custom fields added to their purchase order screen in Acumatica. This information was tied to the vendor selected for each order. Without any customization, these custom fields would not automatically populate with the correct data, forcing the client to manually enter the shipping information every time— a time-consuming process prone to errors.

The client already had a custom preference screen where shipping IDs and their associated information were stored. The challenge was connecting these two screens so that upon vendor selection in the purchase order, the system could:

  • Identify the correct Shipping ID linked to the vendor.
  • Retrieve the corresponding shipping information from the custom preference screen.
  • Automatically populate the custom fields on the Purchase Order screen.

(b) Solution and Benefits

To solve this challenge, we designed a customization using Acumatica’s framework within the Purchase Orders module.
 
Here’s how the solution worked:
 
  1. Hardcoding the Default “Ship To ID” : The client primarily used a specific “Ship To ID.” This ID was hardcoded into the customization logic, ensuring it was automatically populated in most cases.
  2. Triggering a Field Updated Event : We implemented a field updated event tied to the “Ship To ID” field. Any changes made to this field would trigger an update to all other custom shipping fields on the purchase order.
  3. Automatic Population Upon Vendor Selection : When a vendor was selected, the hardcoded “Ship To ID” would automatically populate, triggering the field updated event and initiating the information retrieval process.
  4. Retrieving Shipping Information : The field updated event triggered a lookup to the custom preference screen, fetching the shipping information associated with the “Ship To ID.”
  5. Populating Custom Fields : The retrieved shipping information would automatically populate the corresponding custom fields on the purchase order screen.

Benefits of this solution: 

  • Increased Efficiency and Automation : Automating the population of shipping information significantly reduced manual data entry, saving the client time and resources.
  • Reduced Errors : By eliminating manual data entry, the solution minimized the potential for errors in shipping information.
  • Flexibility : Despite the automation, users retained the flexibility to manually change the “Ship To ID” when needed, allowing for exceptions and adjustments.
