Unlock Acumatica's Reporting Power with Generic Inquiries

This content explores how to overcome reporting challenges in Acumatica using generic inquiries and the export-to-report feature, highlighting the benefits of this approach for efficient, customized reporting.

(a) Challenges

Many Acumatica users find that the standard, out-of-the-box reports do not always meet their specific needs. Creating custom reports using the report designer can be intimidating and time-consuming. Users often struggle with setting up the right parameters and filters to extract the exact data they require. Building reports from scratch can be difficult and requires a lot of effort to get all the filters and parameters correct. For example, generating a report of sales on the West Coast within a specific date range and including a certain product category could be very complex to build manually. This can lead to a great deal of frustration and wasted time.

(b) Solution

The solution to these reporting challenges lies in using Acumatica’s generic inquiries. Generic inquiries allow users to create custom queries of their data by specifying the exact data and filters they need. They act as the first step in creating a custom report. Instead of starting from scratch, you can use a generic inquiry to define the parameters, and then export the inquiry to a report. In Acumatica 24, a new feature was added to export these inquiries directly to a report.

Here’s how the process works:

  • Navigate to the generic inquiry you’ve created.
  • Select the “Export as a Report” option.
  • The system will automatically transfer the data and parameters into the report designer.
  • Once in the report designer, you can configure the layout, add data fields, and create visualizations.
  • You can customise the look and feel of the report by adding or removing fields and inserting charts.
  • After customisation, save the report and review it in the inbox.
  • Then, you can add the report to the sitemap and run a test to ensure the report is correct.

Benefits/Advantages

  • Efficiency: This approach is much faster than building a report from scratch. It eliminates the need to manually input parameters and filters again.
  • Customization: Users can get exactly the data they need with specific parameters and filters. The report designer allows for full customisation of layouts and visuals.
  • Time-saving: Exporting a generic inquiry to a report significantly cuts down the time and effort required to generate a complex report.
  • User-friendly: The process is straightforward with just a few steps.
  • Data insights: Generic inquiries allow users to pull specific data, thus providing better data insights.
  • Flexibility: The exported reports can be further configured with layouts, data fields, and visualizations, as well as charts.
